Saitsa, the SAIT Student’s Association is in Calgary, Alberta. Like many student associations and unions, Saitsa offers students supports through the lens of advocacy work, experiential programming, and services and more. Alongside our friendly mascot, Tedi the Yeti, student voices are heard and put into action to help with issues such as food security, financial instability, academic support, and community integration etc.

Challenges
Before moving to Rubric, Saitsa was using Campus Labs (Anthology) to manage clubs and student engagement. While the platform handled some core functions, it came with a number of challenges, especially around ease of use. The system was confusing for both staff and students, which led to a lot of back-and-forth and extra admin time. Processes like event approvals, club registration, and funding requests were harder to track and slower than they needed to be. On top of that, limited visibility into club activity made it difficult to support students effectively. Saitsa needed a platform that was easier to navigate, more efficient, and better aligned with how their team actually works day to day.

Since switching platforms, Saitsa has completely streamlined how they manage clubs and student engagement on campus.
Processes that once took days now happen in hours—or minutes. Event approvals are now 90% faster, and the approval turnaround for funding applications has improved by 80%. Club onboarding and management now take 70% less admin time, freeing the team up to focus on more impactful work.
Now that everything is managed in one place, clubs handle their day-to-day operations—from forms and ticketing to membership management—without needing to rely on outside tools. Adoption has jumped from 0% with the previous platform to 100% on the new one. Clubs were fully operational just one week after onboarding.
With all club activity centralized and visible in real time, Saitsa’s team can better support student-led initiatives and stay on top of what’s happening across campus. The iframe integration with their website has also made it easier for students to discover clubs and events, helping drive even more engagement.
